Responsible for the strategic planning, management, and execution of the company’s participation in global trade shows, conferences, and internal events. This role encompasses all aspects of event production, from initial concept and budget development through on-site management and post-event analysis. The Tradeshow and Events Manager will collaborate closely with internal teams, external vendors, and stakeholders to ensure events align with company goals, deliver impactful brand experiences, and achieve measurable results. Strong communication, negotiation, project management, and problem-solving skills are essential for success in this role. Frequent domestic and international travel is required.

III. Essential Duties and Responsibilities
Strategic Planning & Alignment: Recommend and execute comprehensive show and event plans that are strategically aligned with overall company goals and marketing objectives. Collaborate with leadership and relevant departments to define event objectives, target audiences, and key performance indicators (KPIs).
Budget Management: Develop and manage detailed budgets for all assigned shows and events, ensuring cost-effectiveness and adherence to financial guidelines. Track expenses, reconcile invoices, and provide regular budget updates.
Vendor Negotiation & Management: Identify, negotiate contracts with, and manage a wide range of external vendors, including exhibit designers/fabricators, event venues, audiovisual providers, transportation companies, caterers, and promotional item suppliers. Ensure vendor compliance with contracts and service level agreements.
Logistics & Execution: Oversee logistical aspects of trade shows and events, including pre-show site visits, space selection and negotiation, exhibit design and build, equipment rental, graphic production, collateral material development, product demonstrations, staff scheduling, attendee registration, hotel and travel arrangements, and on-site supervision.
Special Events & Hospitality: Plan and execute special events and hospitality functions, including venue selection, contract negotiation, entertainment arrangements, room setups, staging, audiovisual requirements, food and beverage coordination, décor, invitation management, RSVP tracking, transportation, staffing, and VIP handling.
Attendee Experience: Coordinate attendee registration processes for large annual shows, ensuring a seamless and positive experience. Manage accommodations, transportation, information dissemination, event materials, and on-site support.
Sponsorship Management: Manage all aspects of company sponsorships, including signage deliverables, company profile submissions, logo placement, program participation, special event coordination, and contract compliance.
Speaker Coordination (as applicable): Recommend and coordinate speakers for programs and presentations, including managing bios, presentation materials, translation services, and audiovisual requirements.
Internal Event Management: Collaborate with Communications, Human Resources and other departments to plan and execute internal programs and events, fostering employee engagement and communication.
Winner Event Support: Provide on-site support for winner events, encompassing all aspects of event setup, including arranging registration areas, placing signage, and assisting with décor and ensuring efficient event breakdown. Serve as an additional point of contact for winners and their guests, delivering exceptional customer service and facilitating a positive and engaging event experience.
Shipping & Logistics: Oversee the collection, packaging, labeling, and shipping of all event materials. Prepare necessary commercial invoices and documentation, coordinate with freight forwarders, manage return shipments, and assist with inbound shipments to event venues.
Reporting & Analysis: Develop and compile attendee reports, gather feedback on sessions and exhibitors, analyze event performance against objectives and budgets, and prepare comprehensive post-event summary reports with key findings and recommendations.
Post-Show Follow-Up: Manage all post-show follow-up with vendors, ensuring timely payment and addressing any outstanding issues.
Promotional Item Management: Select and order promotional items for trade shows, events, and general company use, ensuring brand consistency and cost-effectiveness.
Brand Consistency: Ensure all event elements align with the company’s brand guidelines and contribute to a consistent global brand experience.
IV. Position Requirements/Skills & Abilities
Bachelor’s degree in Event Management, Marketing, Business Administration, or a related field or comparable lottery industry experience.
Two or more years of tradeshow and event planning preferred. Lottery industry experience a plus.
Demonstrated ability to manage budgets effectively, negotiate contracts, and control costs.
Exceptional organizational skills, meticulous attention to detail, and the ability to manage multiple projects and deadlines simultaneously in a fast-paced environment.
Strong project management skills, including the ability to develop and adhere to timelines, prioritize tasks, and manage resources effectively.
Excellent written, verbal, and interpersonal communication skills, with the ability to interact professionally and effectively with internal teams, external vendors, and executive leadership.
Proven ability to build strong relationships and influence cross-functional teams and stakeholders.
Strong negotiation, problem-solving, and decision-making skills.
Creative thinking skills and an eye for visual appeal and effective event design.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Ability to work independently with minimal direction while also being a collaborative team player.
Flexibility and adaptability to changing event needs and unexpected situations.
Willingness and ability to travel frequently, both domestically and internationally. 40% anticipated travel needed. Valid domestic and international travel documents required.
Must be outgoing, energetic, and able to work extended hours as needed to ensure successful event execution.
Ability to lift and carry boxes weighing up to 40 lbs.
V. Preferred Experience
Successful track record of influencing and building consensus with cross-functional teams, stakeholders, and partners.
Knowledge of event production, audiovisual equipment, and technical requirements.
Experience managing international events and navigating cultural differences.
Proficiency in graphic design principles and software (e.g., Adobe Creative Suite) and video creation/editing capabilities to assist with event visuals, presentations, and other corporate creative needs.
