Job Description

Work directly with Hardware Development Management Team to ensure efficient usage of engineering resources.  Track and report on actual expenditures versus budget. Act as liaison to Accounting/Finance department for Hardware Development. Provide support to Hardware Development which includes, but is not limited to, interacting with project teams and vendors, entering internal and external engineering orders, plan and support meetings, guide department members on travel and expense reporting.

Essential Job Functions:
• Prepare and maintain annual operating budget for Hardware Development groups.
• Track expenses and prepare monthly reports for managers – actual operating results versus planned.
• Manage the invoice approval and submission process, working as a liaison with the accounting and legal departments.
• Submit and control internal and external engineering orders for prototype parts via Oracle (iProcurement) and MAPICS (OrderSmart).
• Administers, documents, develops, and maintains databases.
• Routes and tracks approval paperwork where required, including project, personnel, or departmental level items.  
• Coordinates engineering resource charts and other efforts over interdepartmental boundaries.
• Act as subject matter expert for booking travel and creation of expense reports. Provide training and answer questions as needed.
• Organizational support for Hardware Development.
• Complete all necessary set-forms, including IT and Facilities, for new hires.
• Coordinate meetings as needed, including Webex, conference rooms and hospitality as needed.

Job Requirements

• Associate’s Degree in technical or administrative field or equivalent experience.

Required Experience:
• Five years of office/clerical experience

Preferred Experience:
• Experience in an engineering or manufacturing environment.

Knowledge, Skills, & Abilities:
• Must be highly organized and able to effectively handle multiple tasks and shifting priorities.
• Excellent verbal and written communication skills.
• Highly proficient in use of Microsoft Office (or similar) applications including but not limited to Word, Excel, Project, Outlook, PowerPoint and Visio.
• Ability to interface with multiple personality types and best represent the

Company’s culture and vision.
• Ability to take initiative and work independently with minimal supervision.
• Experience in an Oracle work environment is a plus.
• Experience in Hyperion is a plus.

Physical Requirements:
• Office environment

Work Conditions:  
• May require weekend and evening hours. May require travel.
